Colorize Your E-mail World

If you are on my website very much you know I love colors! For me, everything is more fun, interesting, motivating, and inspiring with a splash of color. Right now I’m looking out at the deep purple, soft pink, bright pink, light yellow, and brilliant red flowers in the garden. The dazzling yellow sun brightens the rain-watered green grass. This colorful array inspires my heart as I write to you.   Hopefully this Tip of the Month—which is all about color—will inspire and motivate you to experiment with new ways of making your daily e-mail life more fun and interesting. I wish I would have discovered these tools earlier, but at least I’m on the road of discovery thanks to my coworker Helena.   These steps may vary depending on your e-mail program, but the overall concepts should still apply. Happy experimenting and happy colorizing!   COLORIZE YOUR INCOMING E-MAIL MESSAGES  1.    To color-code messages in a mailbox, right-click on the top bar (the bar that says “From/Subject/Received” etc.).  2.    Select Customize Current View. 3.    Then click on Automatic Formatting. The  formatting allows you to add rules for the type of messages you want to color-code. 4.   On the Rules For This View screen, click on Add. Type in your chosen name for each new rule. Your rules may pertain to messages from people in your department, or certain individuals you communicate with frequently, etc. 5.   Next click on Font to select the color for those categories of messages.  6.   Then click Condition to set up a filter. You will need to indicate the name of the sender or senders. You may be able to click on the “From” bar and select senders from a dropdown menu. If you click on the box that says “Where I am…” you will be able to specify whether you want to color-code messages that are sent only to you, or to you along with others, etc.  7.   After setting all the new rules you desire, hit OK to exit and watch the array of colors pop up in your mailbox! 8.   Hint:  For other kinds of instructions you may want to set for your incoming messages, use step 1 and 2 to locate available options. COLORIZE YOUR APPOINTMENTS 1.   To color-code your appointments, go to View/Arrange By/Current View/Customize Current View. 2.   Then choose Automatic Formatting. 3.   Type in your chosen name for each new Rule related to the appointments you set. These appointments may be regular department meetings, meetings with a certain person, phone calls, meeting preparation, etc. 4.   Next is the fun of choosing your desired color for your various appointments. Click on Label to view a dropdown menu of color selections, which also includes suggested topics. Some of those topics gave me creative ideas for my rules.  5.   You will want to set a Condition as well. On the “Search for the word(s)” line you will be able to enter the words that you intend to use either in the subject line or the note area of your appointment to activate the color you have chosen for that type of appointment. Chose the location from the dropdown menu on the “In” line.  By making sure you include those words in the designated location, you will create a colorful appointment. Soon your eye will begin to recognize appointments at a glance by the color they are!   6.   A personal hint:  I also use colorized appointments as a time management technique.  In addition to including some standard rules for my meetings, phone calls, etc, I named a few rules by the description of some of my major responsibilities. When I determine a time frame to work on those responsibilities on a particular day, I set an appointment. Each time the name of that particular responsibility appears in the subject line, the appointment automatically changes to the designated color.  Whenever I want to, I open a set appointment and use the note area to list individual priority tasks related to that responsibility. During the allotted time, I work on the tasks I’ve listed and delete or reword items as I go. Afterwards I can easily drag the appointment to another day.  My updated tasks stay attached and the color remains the same.  My daily calendar is now segmented with a variety of colors and no longer seems like such a crowded day.    If you are thinking, “This seems so detailed and complicated,” don’t stop there. Experiment with a few of the steps and you’ll be amazed at the result. It might captivate and intrigue you enough to seek additional ways to add your own color!
